Notes field of Contacts and Sceduled Calendar events do not sync from PC to Mobile
Hi all,
I have a Vista PC running Office 2007 and a HTC S710 mobile phone running Windows Mobile 6 standard (CE OS 5.2.16622, Build 18128.0.4.4) and have an issue with syncing.
My Outlook Contacts and Scheduled Calendar events DO sync to my mobile phone but anything in the 'Notes' field of each contact or each calendar entry no longer is sync'd from my desk pc to my mobile. It USED to until around 6 months ago when I upgraded from Outlook 2003 to Outlook 2007, but the notes fields have not sync'd once since using Outlook 2007.
Any ideas?
Could this be a compatibility issue between Outlook 2007 and Windows Mobile 6 standard?
Can anyone out there test this on their systems and advise their results please?
Cheers,
Neil.

By default, there is a limit on notes entries in Contacts and Calendars and that is 5k.
Use the reg key below to increase the size to 20kb. However, you do this at your risk.
Hkey_Current_User\Software\Microsoft\Activesync\. Set the value for BodyTruncation to 20480.
Please check the reg key above on your device and let me know what's the default value.
You will need to download a registry editor to your device. Here's a link to a free one:

Thanks for your reply. Partial success only I'm afraid. After running the command you suggested, if I create a calendar entry on my mobile phone and put some details in the Notes field, it now DOES sync back to my PC. However, if I do this the other way round (create a calendar item on my PC with some details in the Notes field), the Notes do not sync to my mobile.
Weird!
Any further suggestions?
Thanking you in advance.
Neil.
- Neil,There seems to be an issue with Outlook itself. Look under the Help menu and you will see Office Diagnostics. Run it once or twice. Then connect again to see if that resolves your issue.Linley.
Hi Linley,
I ran the diagnostics twice as you suggested and then reconnected and created a new calendar item on my PC, but the Notes field still hasn't sync'd to my mobile again
Any other thoughts?
Cheers,
Neil.
- Neil, I suggest you try deleting the partnerships on your device and PC, then reboot both. Connect the device again to create a new partnership.
Hi Linley,
Did exactly what you said (Deleted the partnerships on pc and mobile, rebooted both and created new partnership) but the Notes fields still do not sync from my PC to my mobile :-(
Any more ideas? Could or should this be reported to Microsoft?
Many thanks,
Neil.
- Does the sync work if you do not add notes? Also, how many characters do you have in the notes?
- The sync works perfectly for all Calendar and Contact information (from Mobile to PC), but it just doesn't carry anything over from the Notes field in either of those entries when creating data in the Notes field on the PC. I used to use calendar entries for my shopping lists (how sad is that!) and also for containing, well ....notes about certain contacts.
Linley Meslier wrote: Does the sync work if you do not add notes? Also, how many characters do you have in the notes? It doesn't seem to make any difference how many characters are put in the Notes field, from 1 to 50 to 200+ (across multiple lines), none are diaplayed on the mobile if the entry is created on the PC.
Cheers,
Neil
PS - Your time and effort spent on this is very much appreciated Linley

The value was zero, I've now changed it to 20480 as per yr suggestion and rebooted both the mobile and the PC.
Some positive changes have occured....
If i create a new calendar entry on the PC with characters in the notes field....it now syncs to my mobile! yey!
But...existing calendar or Contacts with Notes entries do not sync....BUT.....
if I change those calendar or Contacts Notes fields by ONE character, they DO now sync (it is as if the entries need to be recognised as amended or new before they will now sync)
So basically, you have fixed this issue that has been bugging me for around six months....genius!
I can see why you are an MVP moderator!
Superb!
Thankyou so, so much again!
Neil
- Hi Neil,Strange that the value was zero. On all devices that I've had, it was 5k. Strange also that changing that value seems to affect new entries only. Hope you don't have too many calendar entries. It has been a pleasure to help you Neil and thank you for your kind words.Enjoy your device.Linley.

I had a similar problem on an XP machine. My Notes would not sync between my Windows Mobile 6 device and Outlook 2007. It turns out that I had switched the storage location on the handheld from main memory to the storage card. Once I switched it back, it worked fine.
To switch it:
1) Turn on your handheld and open Notes.
2) Click on "Menu" then "Options".
3) Change "Save to:" setting to "Main Memory".
4) Click OK.
To move existing Notes that are already on your storage card so you can sync them:
1) Connect your device.
2) In the Activesync window that opens, click "Explore". A new window will open.
3) Double click "My Windows Mobile-Based Device"
4) Double click "Storage Card"
5) Highlight all pwi files, right click, "Cut"
6) Then go back to the original window (Use the green back arrow upper left 2x) and right click and "Paste" the files there. The window title should be "Mobile Device" at the very top.
7) Go back to the Activesync program and click green "Sync" button.
I also increased the storage size using the registry editor suggested in another reply below. The program runs fine on Windows Mobile 5 & 6 HOWEVER it will not install properly using Activesync as suggested...it installs it into a folder on the desktop instead. The workaround at the link below worked great. I just copied the cab file from my desktop folder to the handheld using File Explorer as the page explains.
