Renewing Contracts

2012. április 18. 18:14When I renew contracts, a new contract is created and the old one shows as expired. Our sales team uses the list of expired or expiring contrat to figure out who to contact to renew. How do a work around this?

Hi,
There could be a workaround. Create a custom field in contract. Lets say you call it as AlreadyRenewed. Make it a Yes/No (two option set).
Whenever you renew a contract, run either a plugin or a workflow. The value of AlreadyRenewed by default will be "No".
When you will renew a contract, the plugin or workflow will update that AlreadyRenewed to "Yes" in the old contract. Now your sales team when tracking the expired contracts will ignore the ones which already have AlreadyRenewed = Yes.
I have never implemented the above, but just a workaround. See if it works.

I was able to create the field and workflow but the workflow stays in a waiting status. The reason for the wait status is: 'The status for the contract does not allow this action' I am assuming that is because the expired contaract become read only or something like that. I have no idea how to get around this. ANy thought?

Hi,
There could be one more alternative. You have added the 'AlreadyRenewed' yes/no new field, but it doesn't get updated in workflow because the contract becomes read only.
So what you can do is to click this check box yourself before you renew the contract. So you go to contract, and check this checkbox, save and then renew this contract. So the workflow you created above will be of no use. You do it manually.
Also train your users who renew the contract to select this checkbox and saving before renewing the contract. Then create a view for sales people which will show all expired contracts and where the field AlreadyRenewed = no.
