    Deployed CRM 2011 On-Premises with the Rollups.  Some users are getting errors when they try to track email in Outlook 2007.  Sometimes the message says "The requested record was not found or you do not have permission to view it."  Sometimes the message is "An error occurred promoting this item to Microsoft Dynamics CRM.  The Microsoft Dynamics CRM server could not be contacted or the user has insufficient permissions to perform this action."   If you try to track the message from the main Outlook list of messages in your inbox, the message is, "An unknown error occurred while syncronizing data to Outlook." Also if I try to go Offline, the syncronization fails while trying to sync the customizations.   It kicks out an error of "Invalid Argument."  When I try to track a message the event logs have the following entry:

    An error occurred while promoting a Microsoft CRM e-mail message. Restart Microsoft Outlook and try again. HR=0x80040217. Context=. Function=CMailItemHelper::HrPromoteMailItemInCrm. Line=1628.

    We have not been able to identify the pattern in the different messages.  I'm one of the users affected and I have admin rights in the CRM as I will be the future administrator.  I did not do the deployment but I'm trying to help the person that is.

    Microsoft has had now 4 engineers on our tickets over the past 3 weeks with no luck.  It is afftecting only some users in our office.  I am on 64-bit Win 7 Ultimate and three users on XP - all on Outlook 2007.

    I know there was a similar problem for the online version that was fixed in the rollup that had to do with the Windows LiveID, but as you know the Windows LiveID plays no role in the on-premises version.  Any help or advise would be greatly appreciated.

    Same issue here: on premise, 2011, all roll ups, can't track a message in outlook against CRM without getting the "The requested record was not found or you do not have permission to view it." error. Very interested to see if anyone has any suggestions.

    EDIT: intreristingly enough - I  don't get that error with the same tracked object when I send to an external email address, only when attempting to send to internal CRM user email accounts. I also checked and reinstalled the outlook plugin roll ups.

    Hi All,

     

    Can you create a test org>configure the Outlook Client for the new test org and check if you are facing the same issue there also?

    I want to isolate if this is org specific or server specific?

     

    2. Is this happening on many systems or one syetem

    I want to isolate if this is system specific or not?

    This has been plaguing us from time-to-time (we are using Outlook 2010 and CRM 2011).  In the recent example, the e-mail was being sent to an internal e-mail distribution list.  The following message comes up.. Other e-mails to same address track fine.  This one in particular includes a special image/object (to show list of items with option to check off selected items). 

    "An error occurred promoting this item to Microsoft Dynamics CRM. The Microsoft Dynamics CRM server could not be contacted or the user has insufficient permissions to perform this action..."  

    After sending the e-mail and then trying to track in sent items (which sometimes works for other errors encountering with tracking outgoing e-mails from Outlook), and it generates the error.

    "An unknown error occurred while synchronizing data to Outlook' (as noted in original message from GMHunty.

    In research of this item, some discussion came up (regarding CRM 3 and 4) about Outlook cache/temporary files, but these were supposedly fixed with update rollups.

    I will be working on an alternate method for this type of e-mail and posting on this thread with results.  I am thinking is relates mostly to the type of image/object associated with the e-mail.

    I was never able to get resolution from this issue from Microsoft.  THe problem was most likely on the SQL side.  We decided to go from On-Prem to cloud and the problem resolved itself.

    When i first installed it for some months ago it was working, but now it's for all the mails. Either in send or inbox.

    Yes the client is in domain.

    is there any error when u manually make the synchronization over synchronize now button?

    if yes, delete the failed items/objects maually, if u need make before a backup of ure datafile, also check the datafile with scanpst/ost

    Only OST. No problems when i run synchronization. I think ill try to re install the CRM client. Do you know where i can download the newest rollup?

    and could u try with the same outlookprofile outside domain?

    could u also try to rebuild if ure ost file?

    make sure the appfolder location for  crm is displyed correct in registry.

    wich path do u see there? sorry i mean the following:

    the value of the appdata on curerntuser \Software\Microsoft\Windows\CurrentVersion\Explorer\User Shell Folders    %USERPROFILE%\AppData\Roaming try change it to \\<server>\<user folder>\AppData\Roaming

    this helped me sometimes.. and if it displayed like i told to change make it other change to userprofile.

    We just encountered this same problem in Outlook 2007.  We haven't applied any of the hotfix rollups to our On-Prem.  Only one user is experiencing it, he is one of the few with Windows 7 here.  His diagnostics file has the same kind of errors.  I have never seen this on our Vista SP2 machines.

    We also have the same problem "The requested record was not found or you do not have permission to view it." Office is 2010 (32-bit) and emails are tracked fine when online, but during _offline_ use of CRM we cannot track any emails nor appointments etc. Outgoing email messages we have slightly different error message stating "The requested record was not found or you do not have sufficient permissions to view it. Do you want to send the email? If you click Yes, the e-mail will be sent out, but no corresponding activity will be created in Microsoft Dynamics CRM."

    Luckily we had a lovely live meeting session with Microsoft Support and at the moment it seems to be a bug ;-)

    Did that and delivered it to MS. I'll let you know if there's something new in this case.

    At least disabling bluetooth addin from Outlook did not make any difference. And while online tracking works fine so we have a workaround at the moment.

    Does anyone have more information on this?  I have a similar issue with Outlook 2010 and CRM 2011.  The client gets this error

    And on the server we get and error of

    Mapi session "aaaaaaa-bbbb-cccc-dddd-eeeeeeeeeee: /o=XXXXX/ou=Exchange Administrative Group (FYDIBOHF23SPDLT)/cn=Recipients/cn=XXXXXX" exceeded the maximum of 250 objects of type "objtMessage".

     

    The users have to close outlook and reopen to even use it again.    Our users are using "online" mode for connection back to the server

    If hibernation is used on the clients, certainly reboot once in a while before trying/testing again.

    Saved me some hours of searching :)

    We have been live since August and this issue has not returned.  One thing we did was push everyone to not use the Offline functionality in the Outlook client until we can get on the latest hotfixes and confirm it is sufficiently stable.  Since our test users reinstalled the online-only version of Dynamics Outlook Client, this error has not recurred.  So Vonsu's point about offline being part of the problem makes sense to me.

    Deployed CRM 2011 On-Premises with the Rollups.  Some users are getting errors when they try to track email in Outlook 2007.  Sometimes the message says "The requested record was not found or you do not have permission to view it."  Sometimes the message is "An error occurred promoting this item to Microsoft Dynamics CRM.  The Microsoft Dynamics CRM server could not be contacted or the user has insufficient permissions to perform this action."   If you try to track the message from the main Outlook list of messages in your inbox, the message is, "An unknown error occurred while syncronizing data to Outlook." Also if I try to go Offline, the syncronization fails while trying to sync the customizations.   It kicks out an error of "Invalid Argument."  When I try to track a message the event logs have the following entry:

    An error occurred while promoting a Microsoft CRM e-mail message. Restart Microsoft Outlook and try again. HR=0x80040217. Context=. Function=CMailItemHelper::HrPromoteMailItemInCrm. Line=1628.

    We have not been able to identify the pattern in the different messages.  I'm one of the users affected and I have admin rights in the CRM as I will be the future administrator.  I did not do the deployment but I'm trying to help the person that is.

    Microsoft has had now 4 engineers on our tickets over the past 3 weeks with no luck.  It is afftecting only some users in our office.  I am on 64-bit Win 7 Ultimate and three users on XP - all on Outlook 2007.

    I know there was a similar problem for the online version that was fixed in the rollup that had to do with the Windows LiveID, but as you know the Windows LiveID plays no role in the on-premises version.  Any help or advise would be greatly appreciated.

    Have you finally found the solution? we have exactly same issue with Outlook 2010.

    Update: the issue is coming back for us, for some Vista / OL2007 users On-Premise.  It is only happening for some emails.  So far it seems to happen with older emails.

    One user had the issue with a two-week old email.  We deleted her temp files and restarted Outlook, moved the email from an Inbox subfolder to her Inbox, and after Untracking we were able to perform Set Regarding successfully from the Inbox list view.

    Another user had the issue with a 6 month old email.  We deleted his temp files, cleared the Outlook forms cache, restarted his computer, restarted Outlook, cleared his IE cache, moved the email around, and nothing worked so far.  Maybe we'll rebuild his Outlook profile again so the email is reloaded from the server?  I'm unhappy about that option because we can't easily do that for everyone if this happens too often.

    Hi there

    Is there any option to 'UnTrack' specific emails ids in MS CRM 2011.

    The issue is we've few customers and we send a lot emails per day and those emails are being tracked by CRM. Is any solution for this issue ? 

    Other than clicking on 'UnTrack' button.

    Are those emails getting tracked using the Smart Matching feature?  You could turn it off.

    Also, you can have each user turn off the "Check incoming e-mail in Outlook and determine whether an e-mail should be linked and saved.." option in the Outlook Client CRM Options (E-mail tab).  That will turn off the auto matching feature from running on emails they receive.  If someone else receives that same email and has the feature turned on, it may still smart match and get tracked into the system.

    There seem to be a number of suggestions for solutions on this issue, but no definitive answer.  We are having the same problem for users with Win 7 64bit and Outlook 2010 but intermittently and with no obvious pattern.  All CRM rollups applied.  I too am Administrator in CRM and had not been having any problems with synchronisation, but now experiencing same as other users - frustrating!

    Thanks Wyeth - but unfortunately it is current emails, new into the mailbox and recently sent that we can't synch.  Most people don't keep older items in their mailbox.

    logon Microsoft CRM 2011,  settings, queues ,  click view and select inactive queues,  highlight all inactive Queues and now  click more actions, Activate

    Try opening outlook CRM Add-on and all will work.

    Do you have any Solutions added into your crm?   please have  look under-settings- solutions

    if you do click and check the components that are connected with  are they connected with any of your accounts or contacts?

    if so please back up crm and remove the unsupport solutions.

    any issues let me know.

    Are all employees (domain-users) also users in CRM? I ask because if anyone has "Create Contacts" checked in their personal settings as well as auto-track messages from Leads, Contacts, and Accounts, and not all domain-users are users in CRM, then Contact records will be made for those employees and (internal) emails auto-tracked. Long story short, the system get quite befuddled with that scenario. Could be a contributing factor in your situation?

    Hi - I started to say that I'm not sure this applies - but I have just found the setting that does try to create a Contact for the organiser of tracked email messages and meetings.  I am going to switch this off and see if it solves the problem!  Not something we would want anyway - must be a setting that crept in on the upgrade from 4.0 to 2011 and we missed!

    All - any update on this?  I'm having the same issue with one of my clients.  They had Outlook Clients configured with the dev. org. and had no issues.  However, now they are trying to track Appointments in Outlook with their Production org. and they are getting the "The requested record was not found or you do not have permission to view it."

    If other items track to CRM properly (such as tracking an E-mail), and only an appointment is not tracking (which would hint to a CRM user permissions issue), then I would check the following.

    - Make sure the user's Outlook Filters in CRM Options has an active filter for 'My Appointments'.

    - Also, is the appointment in question a Meeting Request?  If so, then that type of item will not track.  Accept the meeting request and then track the Appointment created in the calendar.

    - Is this a the actual users mailbox (not a group mailbox)?

    1. Rename the Outlook.ost file

    a. Browse to C:\Users\ <loggedinuser>\AppData\Local\Microsoft\Outlook 

    b. Find the file with .OST on the end. This is an Outlook Data File that contains a local cache of your email.

    c. Rename the file by adding a .old to the end of it.

    c. Restart Outlook and then it will rebuild the .ost


    2. Delete temporary CRM Outlook cache

                    a. Start> All Programs> Microsoft Dynamics CRM 2011> Diagnostics

                    b. Click on the Advanced Troubleshooting tab and then Click the Delete button

     

    3. Delete the SQL CE database on the Client machine:

                    a. Close Outlook

                    b. Browse to C:\Users\<loggedinuser>\AppData\Roaming\Microsoft\MSCRM\Client

                    c. Delete the EmailCache.sdf and the OutlookSyncCache.sdf files 

                    d. Browse to C:\Users\<loggedinuser>\AppData\Local\Microsoft\MSCRM\Client

                    e. Delete the CRMcache.sdf file and the  GUIDFalse.sdf file    <---the GUIDFalse.sdf file will be a long alphanumeric name

                    f. Relaunch Outlook and the files will get recreated.

    Chris,

    Will rebuilding the OST cause the CRM/Tracking information to be lost on the Outlook items?

    When rebuilding the OST, is best practice to clear the CRM temp files and the SQL CE db?

    The OST is just a local copy of what is on the exchange server so you will not lose the CRM tracking info.

    Deleting the OST itself will not resolve the issue. You will need to delete the .SDF files too. In most cases just deleting the .SDF files will fix syncing/promoting issues.

    All - thanks so much for the responses.  I had my client "Repair" the Outlook Client and it resolved his issue. 

    1) Control Panel
    2) Open Programs and Features
    3) Select “Microsoft Dynamics CRM 2011 for Microsoft Outlook”
    4) Click Uninstall/Change
    5) Select Repair

    I'm just trying the repair solution - but when it is impacting a fair number of users, you have to question whether there is a problem with the Outlook client.  The same is true for if we have to remove the SDF files; is there some 'maintenance' that we should be running regularly at a client or server level to help with these issues?
