Hours Per Month

Hi everyone,
I have a task, and I'm assigning resources to it on a monthly basis. Ideally, I some of my resources to have 150 hours per month, and another to have 160 hours per month. For now, I'm using the default calendar, which is 8 hours per day, 40 hours per week. MS Project 2010 is showing 176 hours per month when I check availability. For example, when I enter 150 hours for July 2010, it shows 26 available hours left for the resource. I know I can adjust the resource availability percentage down (from the resource sheet), but I'd prefer to have the resource at 100% = 150 hours or 160 hours. How do I do this?

The best way you could doit is to assign the resource to the task, set the task to auto schedule mode,then toggle to the Resource Usage view, zoom out the screen until you seeit month by month, and manually type in the number of hours the resourcewill work each month.That will still show them as having remaining availability for any givenmonth however, unless you calculate exactly what their availability shouldbe based on 160h/given month, and modify their availability accordingly (bydoubleclicking the resource name and modifying the time periods in the ResourceAvailability box).Your problem is that the number of working days fluctuates in any given month,so it's hard to assume they would be working X hours regardless.- Andrew LavinskyBlog: http://blogs.catapultsystems.com/epm

You can set the number of days project uses to calculate a month and you can set specific working times for resources on their calendars. It would be helpful to know what distinguishes a 150-hour FTE from and 160-hour FTE. Chances are you can solve this problem by creating base calendars for each resource type and then setting the days/month value that gets you closest to your goal. If you need more specific guidance, you need to tell us which version of Project you are using.

Thanks, Gary and Andrew. We are currently typing in the 150/160 hours manually every month as our project changes.
I'm using Project 2010 - the difference between a 150-hour and 160-hour FTE is job title. Our 150-hour FTE's spend more time on administrative tasks, but the administrative tasks are not accounted for in the project itself and viewed as off-line miscellaneous tasks.
Regarding setting a base calendar, do you mean making two calendars: one for 150-hour and 160-hour, and going through each month to get the work-days per month to be equal exactly 150/160 each time?

Given that extra information, the way I would handle this is to create an 8-hour working day calendar for your 160hr resources and a 7.5-hour working day calendar for your 150hr resources, and set the working month to 20 days. Assign the each resource to their appropriate base calendar. That's it, your done. Everything should work just fine from there.

Thanks, Gary. But given Adam's point, are the holidays factored in automatically into the calendar? I already have my settings set to 8-hour work day and 20 days per month, AND I updated my custom calendar such that each month is forced to 20 days (by making some days non-working days). It didn't work; some months are still showing up as different amounts of hours remaining. Am I doing this right?

When you create the new calendar, use the standard calendar (the one you modified) as the basis for it, and the holidays will be picked up automatically. Also, keep in mind that Project is ultimately designed to model reality, and alter it. Your 20-day/mo problems is largely you trying to change reality. Not all months have exactly 20 working days.
