Delay with CRM outgoing emails

Question
-
Hi all,
I have been working on CRM 4.0 for 3months. I have a problem with outgoing emails.
Our crm server and database server is located in a different country. We are using email router to send the emails from crm.
When I tried to send an email, it is taking long time to send it by having status reason as pending send in the activites list.
After 5 to 10 min the status reason is changing to completed.
I sent some test emails for different mail servies like gmail, yahoo,Inranet(outlook) etc.
From this I came to a conclusion that gmail takes nearly 5 to 10min to reach and yahoo takes nearly 2 hours to reach and the outlook just takes less than 5min even after the activity is completed.
Now, my questions are:
1) Initially why we are having the delay for the action to complete(pending status - complete)?
2) Does location of the crm server makes any difference?
3) Why there is much time difference in the arrival of email to recipients on different mail groups?
4) How can I effectively reduce the time delay?
-Thanks

1) Initially why we are having the delay for the action to complete(pending status - complete)?
You are having a delay because e-mail activities are first created and then placed in 'pending send' status.

For outgoing e-mail activities created in CRM and marked for sending, CRM for Outlook and the E-mail Router will poll CRM, pick up the mail, and push them out through the configured SMTP server.
2) Does location of the crm server makes any difference?
This is not a CRM issue, but could be an issue if you have a slow Internet Service Provider or limited bandwidth from the ISP
3) Why there is much time difference in the arrival of email to recipients on different mail groups?
ISP
4) How can I effectively reduce the time delay?
For ISP or bandwidth issues, there is not much you can do except to switch ISP's or increase bandwidth.

Now, Your questions are:

the asynchronous service only runs when resources are available.(If you open your taksk manager, look at the resources used by the service.)if your implementation is quite huge and you are using a enterprize lisence, maybe condider splitting the server roles and move the asynchronous service to a separate server).
2) Does location of the crm server makes any difference?
Best practise I found is having all required infratsructure on the same LAN.Link speed to these servers!
3) Why there is much time difference in the arrival of email to recipients on different mail groups?
