How do I assign tasks to a team? RRS feed

  • Question

  • I am attempting to assign a team as a single resource on tasks.  I want to assign a team so that multiple people can be able to update those tasks.  In Project Server 2003, we did this by creating a dummy account that those users logged in to.  Any suggestions on how to solve this problem?

  • Which version of MSPS are you using currently?

In 2007 and above, you could use 'Team Resource' feature, but it will not send out assignments to the resources. Rather the resources will have to assign themselves to the tasks.

If you need multiple resources reporting time against the same task, then you will need to assign all those resources to that task.

  • MSPS 2007.  I tried that feature, but I am not crazy about the self assign task feature.  I also want to be able to assign the task to a team instead of the team lead which was a limitation of that feature.  If I am wrong or can modify to use that, do tell.

In the future, be sure to tell us what version of Project Server you are using.  To answer your question, refer to the following FAQ about how to create a Team resource:

    http://www.projectserverexperts.com/ProjectServerFAQKnowledgeBase/CreateTeamResource.aspx

Keep in mind that using a Team resource will initially assign all members of the team to the task, but one of the team members must self-assign the task and then can do the work defined on the task.  After self-assigning the task to him/herself, the task will disappear from the Team Tasks page for all of the other team members.  I think that might defeat the purpose of what you are trying to do.  Hope this helps.

Oops.  I should have read you latest post before I sent my last response. So, please ignore it since you have already dismissed the Team resource functionality.  Truth be known, it just doesn't work the way most people expect it to work, which is that all members of the team can work on the task.  To answer your original question, why don't you continue using the dummy account?  Doesn't that work in Project Server 2007?  Let us know and we will try to help.
