Same contact info for multiple leads RRS feed

  • Question

  • My company is running into a problem with Leads. We have many leads for the same company where some of the contact information is out of date, or we've been told to not call them for a while. What is an easy way to make sure that all of this common information is up to date in all of the leads? Is there any way to have all of the leads general contact information reference the same master info?

  • I cannot think of a way for CRM to automatically know which leads should have the same information. Therefore there will have to be some manual intervention, even if it is to group them all together. Another, simpler approach may be to cleanse the data through bulk editing.

    • Find all the records which need the same information
    • Make a note of what this information should be
    • Highlight all the recorsds to edit using Shift-click and Control-click
    • Click the 'Edit' button in the ribbon
    • Complete the values common to all records
    • Click Save

  • You could create a custom entity for the shared info and attach it to the leads.

The other option would be to write code to update leads info based on some criteria.  This would be a retrievemultiple request call to get the leads by some criteria, and then an update request call for each lead to update them as you iterate through the list.

You can find syntax examples of retrievemultiple and update calls here:

  • Leon and Jamie,

It seems like both of those answers would work, though there will be a good amount of manual labor involved in either with 10's of thousands of leads many of which have differing data for common fields. I was hoping that MS had something easy built in.

    Thanks!
