Creating workflow for completed emails RRS feed

  • Hello,

    Can we create workflow for completed emails?

    I want to send email to the user if they do not set regarding in CRM Outlook. As emails are tracked as completed in CRM web, I think workflow does not work. Is there any way to make user set regarding compulsery?

  • Hi,

    Yes you can create a workflow for Email entity, in workflow do the following:

    1. Workflow will run on Record Creation

    2. Check if Email Direction is incomming and Regarding field does does not contains data then Add step Sender alert Email to Email acitivty owner.

  • Hello Frank,

    Thanks for your response, I don't want to track all emails of outlook. I just want to make sure that emails that are tracked should be associated with crm accounts.

    Is there any way we can do that.

  • Hi,

    CRM would not stop you to track email from the unresolved senders, it will always allow incoming email to be tracked if user will click on the Tracking button in outlook or can automatically track incoming emails if sent from the customers. To enable automatic customer incomming email tracking. In CRM otulook client go to:

    Files->CRM Options->Email Tab change the Track option to Email Messages from CRM Leads, Contacts and Accounts and make sure to enable option Check Incomming Email in Outlook and determine...

  • Hi,

    If you want to make sure that none of other email is tracked except the Customer, Account and Leads then you can write a plugin and in plugin can check if sender is Account, Contact or Lead then track or else throw error.   • Ok thats fine but when it is from some other user which is neither in contact nor in account. I know I can track in crm but i want to make sure that set regarding has been set before it is tracked in crm. As you know if you press track in crm, it can track that email in crm without regarding set.

    So, I want to make sure that crm users have actually set regarding before tracking it.

    Hope I make myself clear.

    And I'm using CRM4.

  • Hi,

    In CRM 4.0, try changing the email activity regarding field to required Settings -> Customization -> Customize Entities -> Email -> Fields , double click on Regarding field and change its business required to Business Required
