  • Question

  • Is it possible to make a team the owner of a lead or opportunity so that the leads or opportunities can be viewed by all members of the team?  Thanks in advance for the help.

  • Hi,

        All records in MS CRM are owned by individuals (System users). Ownership can not be passed to teams. Having said that records can be shared with teams but this will require quite a few clicks. If you want this automated you will need to write a plugin that shares the record with the owners team.

    Alternatively, you could add all users in a department to a Business Unit and give them access to each other records.

  • Hassan:
    Thanks for the quick response.  OK, if a team can't easily be the owner of a lead or opportunity, is it possible to change the default filter on the lead and opportunity view to All Leads or All Opportunities so that I can see all of the leads or opportunities?  This way, I can see all leads or opportunities at a glance but the salesperson would only see his own leads or opportunities if his view defaults to my leads or opportunities.  Or, is changing the default filter a global change that changes everyone's view?
    Thanks again.

  • Setting to filter to be something like "Show me all active accounts" does not mean you will be able to view all accounts owned by other people in the system.
    What you would need to modify is the security role you belong to.

    If you have access to all account in the system then choosing the "Active Accounts" view will give you access to all active accounts regardless of who they are owned by.

    Hope this helps.

    Thanks again for the quick response.  Yes, I've got access to everyone information.  I don't think I did a very good job of asking my question.  When I view leads or opportunities, the default filter active is My Leads or My Opportunities.  Is there a way to make the All Leads or All Opportunities the default filter?
    Thanks again.

  • You're welcome.

    Yes. It is possible but be advised that if you set the default filter to be "All Leads" at the system level. Then all system users will see the same view as default. Granted that they will not have access to the same information. (this is based on their security role and what information they have access to.)

    To see a view as a default.
    Go to Settings ->
    Click Customization ->
    Click Customize Entities ->
    Select Account (or any entity) ->
    Click Forms and Views ->
    Select "Active Accounts" ->
    from the More Actions menu ->
    Select "Set Default" ->
    Publish entity.
