  • Depends on whether you want things to happen automatically. From your description it sounds like you should use a workflow - which can update and create new records automatically

A business process flow is for showing the lifecycle of a record and to guide users as to what they should be doing - a great example is an opportunity which begins and eventually ends.

There is loads of information in the CRM help center, https://www.microsoft.com/en-us/dynamics/crm-help-center/

  • yes, i need to guide users to do which steps first, second etc

i think it is impossible to do automation using work flow if involve human input such as appointment date of installation, new customer records input

  • As per as my knowledge is concerned, I am sharing with you some major difference between workflow and business process. Below are the points mentioned.

Workflow Management System (WfMS) and Business Process Management System (BPMS) is related to IT solutions which support individual concepts.

Workflow allows simple, or complex automation of tasks within Dynamics 365 that can make an incredible difference to an organization.

(BPMS) are representations of your business processes and is presented visually in CRM in the form of a heading across the top of an entity form.

A business process flow is formed of Stages, and within each stage there are Steps to complete which are fields.
