Did you validate each users' email ?
It is located on the ribbon of the user's form.
Best Regards,
Benjamin

Hi,
What kind of Security Role you are in? It looks like you don't have permissions on some entities especially on User entity or missing some of Privileges.
Just to test add System Administrator Role and try this to see you getting the same error message.

Hi,
Are you creating a workflow from the Administrator User? make sure that the User Account can send email from CRM and have activity entity privileges, are you getting this error on adding the Send Email step in Worflow?

Hi,
What kind of license type you are using (Microsoft CALs) m is it Full or Limited-use?
Also does your user name is belongs to Root Business Unit?
Have you got any other security role? please remove those and just try with Administrator role.

Hi Jehanzeb.Javeed,
yes I'm creating the workflow from the administrator user I test that that user account can send email, when adding send Email step I do not get any error but after activating workflow,I check no email was sent, workflow was not set on demand,I went to activity list, open the Email activity workflow made it and press "send" button and encounter this error.
I'm sorry forgotten to say that after about 10 minutes after activating workflow this error appears from outlook too:
The TCP/IP connection was unexpectedly terminated by the server
Thanks a lot for involving

Hi Thomas Thankachan,Thanks
I do not know what kind of license do our company use,how can I understand it without needing to ask anybody at the office?
I think my user name belongs to Root Business Unit,How to make sure?
I removed all other security role and just tried with administrator role, unfortunately Error appears again.

Open up your User record, and check the Business Unit property under Organization Information section, and check it is same as the Organization name.
It appears to be you getting this error when you running the workflow. Can you please check Windows Event Viewer to see any other error messages.
Also try restarting on Microsoft Dynamics CRM Asynchronous Processing Service and other CRM Service.

Thanks Thomas,The organization unit is right and I restarted all crm services
also checked Event viewer and see that many errors has been registered and its info:
..."You have been unsubscribed... CRM:0001840" for SMTP... System.Net.Mail.SmtpException: The SMTP server requires a secure connection or the client was not authenticated. The server response was: 5.5.1 Authentication Required.
I do not know what to do more?PLEASE help.
THANKS

Hi,
Are you using Outlook for sending emails or Email router? from the above error it seems like you are using Email Router, try test SMTP profiles connectivity and verify SMTP server address and other connectivity details in CRM Email Router application. You may also refer: http://blogs.msdn.com/b/crm/archive/2009/01/08/troubleshooting-the-microsoft-dynamics-crm-e-mail-router.aspx
Also try sending emails form Outlook by opening the User Record and then changing the Email Access Type Outgoing to Microsoft Dynamics CRM for Outlook (this will require Outlook client to be running for sending emails)

I use Email Router for Email access type outgoing and Forward Mailbox for Email access type incoming for other users and for administrator use outlook for email access type incoming. Is it wrong?
it seems that configuration for Email Router outgoing profile is right, isn't it?:
Email Server Type:SMTP
Athentication Type:Clear Text
use SSL:OK
Email Server:smtp.gmail.com
Access credentials:other specified
user:a gmail ID
pass:password of system
Network port:995
PLEASE help me,
I read the links and all configurations I've done but the problem exists.
THanks

Thanks a lot Thomas,I change the port to 587
and have more questions:
1. user of outgoing profile must be a gmail ID and the password must be its password certainly?
2,3. and this user and pass must be same user and pass entered for "Allow Email Router to send and receive email on my behalf"?When I checked it ,think that every time we want to send email will be asked for this user and pass .I think wrong?
4. for email workflows we do have to use Email Router?my problem with Email Router especially Incoming profile that its Test Access fails,exists;
because we wanted to send Email I thought that it is enough that outgoing test access is successful but now I doubt,
Is it possible not to determine Email Router for user Incoming and Outgoing method and email workflows work properly?
thanks a lot
