Sending email when a task is send to a user ? RRS feed

  • Dear all,

    I am managing all input in our CRM and I am acting as the dispatcher role.
    All our customer request comes from a single mail box, then I need to assign each incoming mail to be treat to people in my team.

    BUt doing so I woul like that the people which get assigned to be notified in order he knows that he will have to do the job.

    how can I do that ?
    is is proper way to usually do ?

  • Both in CRM 4.0 and CRM 2011 you would find it under Settings section.

    In CRM 4.0 it is called Workflows and it is known as Processes in CRM 2011.

    When you click on the Send Email option in the Add Step it will allow you to specify the fields from where you want to pick the values for sender/receiver/content of the mail etc.

    You can not add a link to the task directly. It will require a script to be added to store the URL of the task in a custom attribute of the task and then that attribute can be included in the email body.

  • Hi Serge,

    You can write a workflow on the Task entity that captures the change in ownership (record is assigned) and send an email (step Send Email) to the new Owner.

  • IN which section of CRM should I set that Workflow ? Settings ?

    How can I prefile my email with :

    From : should be the user which do the new assignement

    To: should be the new owner

    How can I add a linked to point to the new task he is assigned to ?

    As Sam mentioned already that you can create a workflow for Email entity, that will run when Record is Assigned, in workflow Add Step Send Email click on Set Properties button and specify message contents and you can use/import the Custom Workflow activities solution available at codeplex (http://gonzaloruizcrm.blogspot.com/2011/06/use-workflow-to-generate-hyperlink-to.html or  http://crm2011workflowutils.codeplex.com/) to generate the record hyperlink and include into the email.
