  • Does Microsoft CRM 4.0 have a way to send a mail merge with a file attachment?

    We sell a product which deals with sending bulk HTML email with attachments from a MS CRM marketing list.

    There are a few other 3rd party products which also achieve the same result, perhaps more focussed on the marketing side of campaign management.

    Through some C# you could develop your own solution, however typically sending a large attachment through your own email server is a bad idea. Alternately host the attachment on a web server and bulk email the URL to that attachment. Both solutions require a fair bit of bandwidth.

  • Mail Merge is sent via MS Word through the Mail Merge button in CRM.  There is an option in MS Word when you are ready to distribute the Mail Merge that you can distribute it as an attachement in the e-mail or as html in the e-mail. 

    There may also be an option in MS Mail Merge to include another attachment.  The Mail Merge function is actually generated and distributed through MS Word and Outlook but initiated through CRM.

    If you want to use the Mail Merge feature available through CRM and MS Word, you will want to look at MS Word to see if you can send an attachment with your Mail Merge.

    If you post this question again, I will let someone else respond as it looks like you might want to extend the application to include some functionality that is not currently available.  You may want to post this question in the Development forum and one of the Developers might be able to provide you with some sample code.  You can also take a look at the SDK for examples on how to extend the application.  Here is a link:  http://msdn.microsoft.com/en-us/library/bb928212.aspx

  • Donna covered a lot, but it may be useful to know that you can set up email templates with attachments as an alternative.

    Why do you want to put attachments on a document that's going to get printed anyway?

  • Hi Ben, sending bulk email with attachments is bad practice and I'd advise you to avoid it.

    Emailing attachments is bad practice because a copy of the email and the attachment will get saved in your CRM database (upsetting your database administrator), lots of emails with attachments arriving with your customer could upset their email administrator and cause your domain name to be blacklisted, and emails with attachments have to be deleted twice by the recipient in order to permanently delete them.

    Instead, include a link in your email so that the recipient can choos to download the file from your website. It's a little more effort for you, but it's better for everyone else this way.

  • Thanks Wayne, but the email template feature in CRM is very limited when compared with the word merge option.  The email template only provided a few font sizes and colors.  The mord merge feature allows you to do anything you can do in word and creating an email template is the main reason that we are using this feature.

    I agree with the poster below that sending an email with an attachment may not be the best practice, but it is a very common thing to do in today's world.  We have many instances where we would jsut automate a process and send an email with an application attached.  The email saying please fill out this application and the attachment being the actual application.  This would not be a bulk email, just a way to create a template for something that we do all the time.

    If there is any other option here I am all ears.
