crm 2011 : how to cancel an email activity ? RRS feed

  • Hello Everyone,

    Is there anyway to cancel an Email activity and make the Activity Status as "Cancelled" ? 

    Just like in all the Activities, there is a Activity Status of "Cancelled" on Email Activity too. But i do not see a way to cancel the activity. Only Send and Delete options are available.

    Please suggest.

  • Hi Ashwani,

    While the functionality may not be visible, it's definitely there!

    The Status of an email can be set to Competed or Cancelled via workflow/dialog/plugin.

    You can create an on-demand workflow for example that Cancels or Completes an email - better yet you could create a dialog with options whether they want to Complete or Cancel it.

    You could optionally add a button to the ribbon so users can click this to trigger the workflow/dialog, or they can just click the Run Workflow/Dialog button under the Process ribbon section.

  • Why do you want to have "cancelled" e-mails to stay in your system? Deleting them is a much better idea if you don´t want to send them.

    I am actually designing a probability update workflow which consists of various stages in which workflow creates different activities such as appointment, task and an Email and updates the corresponding entity accordingly.

    Like if an appointment activity is created then a system user might complete or cancel that activity to proceed with further stages with the workflow, but it seems the same case is not possible with Email activity. Once an Email Activity is created then it can only be completed but cannot be cancelled. In case we try to delete that Email activity then the Workflow stops since it cannot find any further event with Email Activity happening. 

    So to cancel that Email Activity created and skip to next stage with workflow, i wanted to know if there is any way to do the same.

    I hope i'm clear with my scenario. Plz suggest if there is any other way round.
