Advanced Search exclude linked entities RRS feed

  • Question

  • Hello,

using the advanced search I wonder if it is possible to do the following:

    I search on all contacts.
Condition 1: The contacts must have an activity with the subject "Call contact and sell something"
Condition 2: The contacts must NOT have an activity with the subject "Sell something big", even if they have a activity of condition 1.

    Is that possible?
A simple example (without activities, but the entity should not matter): Imagine you want to offer racing stripes for customers owing red cars. You would select all customers owning a red car, but exclude the ones already owning the strips.

    Thank you!
    Regards,

    Uwe

  • The problem is condition 2. Advanced Find does not handle 'NOT' searches very well.

An alternative option would be to use a marketing list. Populate the list with all contacts meeting condition 1. Then remove all contacts which have the activity of condition 2. What is left is the list required. Its not dynamic but it will isolate the records for you.

  • You'll need to create a custom report in Visual Studio and upload it to the CRM server to pull this type of information.  Advanced Find will not provide the level of filter criteria complexity that you need.

  • Hello Donna,

thank you for your reply. I would not call this a "complex" task.
I did not get in touch with any reports of this kind. But I can imagine, that I won't be able to double click a contact to open its details in the regular window, would I?

    Thank you!

    Uwe

  • Hi Uwe,

Can you use Advanced Find and do the following to see if it works for you? For the AND condition for Subject, select the two rows and click on GROUP AND on the menu bard.

    Look for: Contacts
         - Activities (Regarding)
             + Subject   Contains    "A"
+ Subject   Does Not Contain "B"

  • Advanced search, no, but you might investigate reports on ActivityParty.   Knudsen at IMGInc has a video on it.

You might be able to modify/create the fetchXML to do this but, I don't know how you would get that back into a saved view.

What is your need for doing this in Advanced Search?

  • If you create the report as a Drill Through on the Contact you will be able to open the Contact record.

  • Thanks for your replies!

I think the marketing list is the way to go for now.

Donna, thank you. I will investigate in drill througth reports.

Mardukes, could you post a link to the video? I searched, but did not find any videos.

Darren, no that does not work in this case. because a contact can have both of the activities (in your example)
