Create report for records where the Notes field is empty... RRS feed

  • I have successfully created a report that shows records that DO have notes, but when I create a new report and substitute "Contains Data" to Does not contain data", the report returns nothing, and I know there are several hundred records without notes,

  • The report is created with the report wizard? CRM OnPremise or Online? CRM 2011 or CRM 2013?

  • Are you using the Notes entity or do you have a notes field on the entity you are reporting on?

    Also, what tool are you using to generate the report?

    If you are using advanced find or the report wizard, and you are using the Notes entity, there is no way to do this.  "Does not Contain Data", means that the field exists, but there is no data in the field.  If there are no Notes associated with an entity, the record will not be returned by the query.

    If you want to do this using the Notes entity and your are On Prem you can use SQL.

  • If you have CRM 2013, then I think you can do this with FetchXml, as well as with SQL, but you'd still need a Reporting Services report (rather than using the Report Wizard)
