Outlook E-mail tracked in CRM -> option to add new CRM Contact but e-mail address is not automatically populated RRS feed

  • Question

  • When an outlook e-mail is tracked into CRM, but the system cannot find an associated contact, account or lead, a screen pops-up which allows the creation of e.g. a new Contact. When creating this new Contact, unfortunately the e-mail address is not automatically populated into this new Contact. Is there a solution available to do this automatically?

  • Thanks Rene,

Just to confirm, which version of the cllient are you on? CRM 2011?

In CRM 2011, in the same place you set to track "E-mail messages from CRM leads, Contacts and Accounts", below that you can choose to "Automatically create records in Microsoft Dynamics CRM". If you choose that, when the user tracks an email, the email address and display name will be automatically placed in to the newly created Contact or Lead record (according to your choice.

  • Hi Rene,

Have you tried enabling the automatic creation of contacts/leads from the options dialog? If you go to File->CRM->Options, then click on the Email tab, you should see this option at the bottom.

  • Hi Tripp,

In this options menu, we have chosen to "Check incoming e-mail in Outlook ..." and to track "E-mail messages from CRM leads, Contacts and Accounts".

This works great, if the e-mail from the sender is a known e-mail address.

If it is an unknown address, rather than tracking all e-mails into CRM, a user can decide to track this e-mail into CRM or not. If the user tracks such an e-mail into CRM you have the opportunity to create a new Contact, Lead or Account. But ... when you do this, the e-mail is not automatically added to the newly created Contact e.g.

  • Hi Tripp,

No, the customer is on CRM 4.0, probably we should upgrade them to CRM2011, as soon as the On-Premise is release in Europe.

I will have a look on my CRM2011 system! Thanks for your advice!
