Using the Email Router and the Outlook plugin RRS feed

  • Hi,

    I've just completed an on-premises installation of CRM 2011.

    I have configured the Email Router (with forwarding inbox).

    I like this option because it means that emails get processed when Outlook isn't running and also allows for our staff to use other email clients (OWA, iPhone etc) and the emails still get processed.

    When I am slightly confused about is that all of the articles/documentation I have read seem to pitch the Email Router and the Outlook plugin as a mutually exclusive EITHER/OR solutions - but it seems to me that the email processing is only a very small part of the Outlook plugin functionality

    I am wondering if it is supported/advised to use both the Email Router and the Outlook plugin together? The emails would be processed by the Email Router and the Outlook plugin would allow access to the CRM functionality from within Outlook

    Is using the Email Router and the Outlook plugin together a supported configuration?

    Yes, its completely supported. You can in fact one should use Email router and Outlook plugin together for MS CRM. Email router is email engine for CRM and Outlook Plugin is a CRM sitting inside Outlook. Outlook plugin is very helpful for those users who don't want to leave their Outlook and switch to CRM in Browser every now and then to track different items in CRM. Email Router and the Outlook plugin together provide a supported configuration.

    Many thanks for the quick response

    If I mark the Incoming and Outgoing access types for each user to "Forward Mailbox" and "E-mail Router" respectively, is that enough to ensure that the Outlook plugin and the Email Router work well together and don't create duplicate data within the CRM system?

  • Hi Robin,

    Your specified settings will not guarantee that CRM system would never have duplicate data. These settings are not made to stop duplicate data in CRM system. Data duplication is a vast subject and I haven't seen a solution that would guarantee a 100 % data uniqueness. But there are ways to minimize data duplication in CRM system. 

    Whenever email router service is restarted, it reprocesses emails present in the inbox of forward email box or generic email box. There are many ways to preempt data duplication from email boxes and email router.  If you are using forward mailbox or generic mailboxes then create a rule in mailbox to move/delete an email to another folder from inbox after its been processed by CRM. The question is how much time is enough for email router to process emails before your move out emails from inbox to another folder? The answer varies but I think 12 hours/24 hours are enough for email router in most scenarios to process emails.

    Also, You can create data duplicate jobs in CRM to check for duplicate emails from time to time and remove duplicates from system. I hope its helpful :-)
