Tracking and actioning undeliverable emails from bulk emails RRS feed

  • Hi,

    OVERVIEW: We are using CRM 4.0 and do alot of bulk email mail merges to a large amount of contacts. Unfortunatly, we are also receiving alot of undeliverable email bouce-backs which we would like record owners to action/clean.

    TARGET: Continually clean up contact record data by having undeliverable email bouncebacks tracked in CRM against the contact record, then generate a report by record owner with a list of all the bouced back contact records. This will then allow the record owners to go in and update/clean their records.

    Any recommendations on how/if this can be achieved would be greatly appreciated.

  • Hi Shayne, the options here will depend somewhat on whether you are using CRM for Outlook, a forward mailbox or the CRM Email Router to process CRM emails.

    But you should be able to achieve your requirements with some clever workflows that listening for bounceback emails.

    However, I've tried asking users to clean their contacts if an email can't be delivered to them. It doesn't work (at least, it doens't ask for me, no matter how nicely I ask). Keeping contacts clean is always the least important thing to do out of the billion other things that users have to do. You need to employ someone to do it. It's a great job for a school leaver/apprentice with an eye for detail and who has an ambition to become a CRM system administrator someday.
