  • Question

  • Can anyone tell me how to set up tasks to send an email notification to the user &/or other team members when the status changes (assigned, completed, updated, etc)?

  • Thank you so much!  It works great.  Is there also a way to include a link to the Task in the email?

  • This can be done pretty easily using a workflow that is triggered on task update.

  • Just to add a little more detail on Brandon's solution, you need to define a workflow on the task entity. In the triggers you should select "When record attributes change" and check the "state" and "status" attributes.

Then you can insert a "Send Email" step in the body of the workflow which notfies the user (you can select the owner of the task in the "TO" field of the email) about the new status of the task. You can insert dynamic values anywhere in the email body, such as the task name, status etc.

  • Not out of the box. If you want a link to the email you could use the Workflow Utilities solution which is capable of inserting hyperlinks to CRM records in emails but it only works on CRM OnPremise (not CRM Online)
