CRM Contact in Outlook doesn't appear RRS feed

  • Hi all,

    I want to ask about CRM Contacts in Outlook that doesn't list the Contacts. When CRM Contacts is chosen, the list is blank (although the person has Contacts that are owned by her). So when user compose email using Outlook and pick the users from Address book, user can't pick her Contacts from CRM Contacts.

    But when CRM Accounts is chosen, all Accounts owned by that person can appear, and when CRM Leads is chosen, all Leads owned by that person can also appear.

    I asked her to run the Diagnostic and the result seemed fine, though the network quality to connect to CRM server is poor.

    Here is the diagnostic result:

    Network and Connectivity
    The quality of the network connection to the Microsoft Dynamics CRM server is poor, which can cause poor performance and occasional errors.

    Client Configuration
    No problem (there is a tick on Verifying address book and a warning about Excell and CRM add-in)

    Synchronization
    No problems found

    System Configuration
    No problems found


    Can you suggest how to make CRM Contacts to show its list again?

  • Open up Outlook. Go To CRM-Options from the menu bar. Select the Address Book tab. Next to contacts, select 'Match all contacts...'

    Please follow steps below:

    1. In Outlook, choose Options from the CRM Menu
    2. Click on the Address Book tab:

    3. Select "Match all contacts in Microsoft Dynamics CRM" and "Match all items in Microsoft Dynamics CRM"
    4. Click OK
    5. Synchronize with CRM by choose "Synchronize with CRM" from the CRM menu
    6. Return to CRM Address book. You should now see entries there.

  • Neither leads nor accounts are contacts.  Outlook & Dynamics share contacts.  Neither leads nor accounts will show up in Outlook.

  • Hassan advice for updating the address book is correct.  However, I am a bit confused by your post because it seems like you are referring to a couple of different features.

    The CRM Address book in Outlook that lists the CRM Accounts, CRM Leads and CRM Contacts list all of the CRM records not just those owned by the user.  You can access this address book a couple of different ways: Select the To button from an e-mail and select the Address Book picklist to change to the CRM Address book, Select Tools, Address Book from the Outlook menu.  There are actually more entities referenced in the CRM Address Book like Users, Leads, etc.

    If the user wants to be able to send e-mails to the Contacts the user owns, then the user will want to synchronize the Outlook Contacts with CRM.  This is done by taking the following steps
    • Select CRM from the top Outlook menu
    • Select Options
    • Select Synchronization
    • Ensure the Contacts checkbox is selected
    • Select Ok
    • Select CRM from the top Outlook menu
    • Select Modify Local Data Groups
    • Ensure the data group My Contacts is Active
    • Select Ok
    • Select CRM from the top Outlook menu
    • Select Synchronize with CRM

    This will add the user's CRM contacts as Outlook Contacts.

  • The address book sync is broken. You can only sync all contacts to the address book, not just the ones you own. To do this do as Hassan instructs.

    Sorry if my explanation is unclear.

    In this case, our Admin used to send email to her CRM Contacts (Contacts in CRM that are owned by her). When composing a new email in Outlook, after clicking 'To' button, then from Address Book dropdown, she can chose address book value below Microsoft Dynamics CRM Address Book ( CRM Accounts, CRM Contacts, CRM Leads, CRM Facilities, CRM Queues, CRM Users).

    When "CRM Accounts" is chosen, the list of Accounts owned by her will be listed. That works for Leads also. But when "CRM Contacts" is chosen, the list of Contacts owned by her is not listed, eventhough she has CRM Contacts.

    However I've checked that CRM Contacts were listed in her Outlook Address Book's Contact (not below Microsoft Dynamics CRM Address Book). Maybe this is what mardukes meant that Outlook & Dynamics share Contacts.

    I actually want to ask how to let the CRM Contacts appear in "CRM Contact" below Microsoft Dynamics CRM Address Book. but it's fine now since the CRM Contact can be seen in Outlook Address Book Contact (thought it mix with other Outlook Contact)

  • It is broken. The only solution is to go to the user options, go to the Address Book tab and select sync all records. You cannot just sync the ones owned by the user.

  • Hi,

    I think there might be a bit of confusion so let me see if I can help clear it up.

    CRM Contacts listed under Tools, Address Book represents all Active Contacts in CRM.  This is managed through the option found by selecting CRM from the top navigation menu in Outlook, Select Options, Select Address Book and ensure the checkbox next to Update the Outlook Address Book every 24 hours.  24 hours is the default.

    The above option manages the Address Book.

    The other option for having Contacts listed in Outlook, which also can be used to send e-mails, is to add the Contact to the users Contact list.  This is managed through local data options under the CRM menu.  Select CRM, Local Data Options, and you might see several queries used to manage local data synchronization.  One of the queries is My Contacts.  This options syncs CRM Contacts to Outlook Contacts.  CRM contacts in Outlook should show a different icon to help distinguish them.

    Two things to keep in mind:

    Address Book Contacts contain all Active CRM Contacts and are managed through CRM, Options, Address Book

    Outlook Contacts from CRM are managed through CRM, Local Data Groups.  You must also have the Contact checkbox selected under CRM, Options, Synchronization for this feature to work.

    I don't see any sync all records option, button, whatever.

    I have my address book options set up as Donna describes and there are no contacts in the CRM contacts area of my Outlook address book.

  • Once your options are set as I described above, the Address Book will automatically update every 24 hours or on whatever frequency you set.  You can also force the Synchronization by Selecting CRM from the top menu in Outlook and Synchronize with CRM.  This should update the Address Book.

  • It's never been set otherwise (24 hours and checked) that I know of.  I just manually synchonized and there are no contacts listed in that particular address book.  In fact the only one that has anything is CRM Users.

  • Hi,

    I have come across the same problem, and the solution was:

    1. Check settings in your database
    We had moved server; and some DeploymentProperties was not updated accordingly. These you should check.

    USE MSCRM_CONFIG

    Update DeploymentProperties SET NVarCharColumn = '<servername>' WHERE ColumnName = 'AsyncSdkRootDomain'

    Update DeploymentProperties SET NvarCharColumn = '<servername>' WHERE ColumnName = 'ADSdkRootDomain'

    Update DeploymentProperties SET NvarCharColumn = '<servername>' WHERE ColumnName = 'ADWebApplicationRootDomain'
    (if you google a bit you will find a blog post on this)

    2. E-Mail Access Configuration on User Record
    We did not have the e-mail connector installed; so the access for both should be "Microsoft CRM for Outlook".

    After these two corrections were made; it worked fine.

  •  Is this working for some users and just not working for one user?  If so, does the user have rights to read Contacts and Sync to Outlook.  Sync to Outlook settings are in the Security Role under Business Management
