Send email using Custom workflow activity RRS feed

  • Hi

    i need to send an email to all the Sales persons added when Creating/Updating Opportunity. Mail should not be resend to the existing Sales Persons .Mail should be sent only when Sales Person's names were changed.

    Please help me to proceed further

  • Hi,

    Instead of developing a custom workflow actvity, you can create 4 workflow as mentioned below.

    1st Workflow
    --------------------------

    1.In the Navigation Pane, click Settings, and then click Processes
    2.On the Actions toolbar, click New.
    3.In the Create Process dialog box, set required properties for the workflow.
      a.In the Process name box, type the name that you want to use for this workflow, such as "New Opportunity: Send Notification".
      b.From the Entity list, select Opportunity as the primary entity for this workflow.
      c.In the Category list, select Workflow.
    4.Click OK.
    5.In the Process Properties area in the top half of the Process form, set additional properties for the workflow: a.In the Scope list under Options for Automatic Processes , select a scope that corresponds to the records in your organization that you want the workflow to affect.
    The scope you specify allows workflow jobs to run only on appropriate records, such as Organization for all records or Business Unit for records owned by people in a specific group.

    b.Under Start when, confirm that the Record is created check box is selected

    6.Add Step Send e-mail, enter message details and in To field select the all Sales Person Lookups fields from  Opportunity entity in workflow Form Assistant

    7.On the Form toolbar, click Save and Activate workflow


    2nd Workflow
    --------------------------

    1. Create new workflow as mentioned in 1st workflow steps 1 to 5B
    2. Under Start when, confirm that the Record fuekds change check box is selected, click on Select button and select the Sales Person 1 lookup field
    3. Add Step Send e-mail, enter message details and in To field select the Sales Person 1 Lookup fields from  Opportunity entity in workflow Form Assistant
    4.On the Form toolbar, click Save and Activate workflow

    3rd Workflow
    --------------------------

    1. Create new workflow as mentioned in 1st workflow steps 1 to 5B

    Few questions:

    1. Are you using CRM 2011?

    2. Have you created a Sales Person team?

    3. is the opportunity record assigned to the team?

    4. What do you mean by names were changed? do you mean new team members?

  • Hi

     

    1. i am using CRM 4

    2. When creating an new opprtunity or Update an Opportunity, creator can specify 3 Presales Person names. I need to send mail to all the specified pre sales person. If creator change PreSales Person1 Name from "XYZ" to "ABC", a mail needs to be sent to ABC user

     

    Please let me know if need to provide any more info
