Conditional Formatting does not stick in CRM

I create a conditonal formatting rule (e.g. the warranty is due within the next 7 days - so make the text blue and bold)
If I move to another screen and come back again the conditioning has gone.
If I look in the conditional formatting box the rule is still there but the actual condtion has gone and the font details are back to default settings.
I know someone will say this is an outlook problem, but I can create the rules in my Inbox and they stick! It's only the CRM ones that don't!

Hi Everyone,
We are looking in to this. The expected behavior is that as long as the Outlook session is maintained (iow, you don't close Outlook), the conditional formatting rules should remain even if you move away from the view and return.
To get the conditional formatting to persist across sessions, you have to save the view that you created the rules on. You should be able to create conditional formatting rules on non pinned views as well, and on system views (provided you have permissions to save to system views). We'll attempt to repro the behavior that you've described, and I'll reply back to this thread with what we found, and the POR for getting any issues that we've found resolved.

OK, I tested this a little further (Outlook 2010, Win7 32but, CRM Rollup 3) and here's what I've observed:
After adding conditional formatting to a view, if you press the 'Save As' button in the list group of the View ribbon, you may save as a new personal view. This retains the conditional formatting if I exit Outlook and fire it up again. It is also retained if I share the personal view with other Outlook 2010 crm client users.
You cannot save conditional formatting on system views. This is consistent with the CRM2011 certification training materials, it would be nice to be able to set conditional formatting on a system view and ship within a solution but I think that may be somewhat of a challenge, I'll check if it's been added to connect as a suggestion..
So, in summary, you can save conditional formatting in a personal view (using the 'Save As' button) and share it with other users but applying conditional formatting to system views is always temporary.
I hope that helps a few of you out.

Hi,
I just tried to replicate (using an on-premise deployment, RTM version with updates KB2291453 and KB2028888 applied) but my conditional formatting seems to stick. I added a condition to the account list, then navigated to opportunities, then inbox, then back to accounts and my formatting was retained.

Can you please try with a custom view vs. the default ones? Also, please try closing and re-opening Outlook and see if they stick...
I've had these same problems and haven't been able to figure out the pattern. Any advice would be appreciated. I wouldn't think it should be this hard...

Exactly the same bug over here. A solution would be appreciated.
Bug occurs with:
- Win7 64
- Outlook 2010 32bit
- CRM 2010 Online
All conditional formatting goes wrong.

I got the same problem and the same setup as Biesterbos. It seems like Conditional Formatting can not be saved for system view, but is possible if saved to a personal view.
Futher "Groupings" can't be stored at all, so this seems to have some of the same problems.
It's annoying for the user as they loose the Conditional Formatting / Groupings as soon as they leave the gridview.
Hopefully we can get a resolution for this.

We have same problem. Works fine while outlook is still open; can navigate anywhere and come back to view and conditioning is still there. However, if i close outlook and reopen the conditioning rule is gone.
Same with system or personal view, pinned or not. We're using CRM online.
Any answers from MS on this?

I am surprised that this thread has run this long without an answer from Microsoft or an MVP. This is a real problem that I can replicate on many machines.
I applied a conditional format to a lead and it works as long as you do not move away from that VIEW.
Is the answer to this that it is a smoke and mirrors feature, cool to demo to people but does not actually work?
Is there anyone out there that is using this feature without any problem at all?

Tried this on Update Rollup 3 and it still seems to be a problem. Opportunities (on a pinned view) lose formatting when Outlook is closed. :-(

If you beleive you've identified a bug, which this appears might be the case, the forums are not the right place to get it addressed. Please post the issue on Connect or open a ticket with Microsoft Support. Those two are the best paths for obtaining resolution to a suspected bug or if you have a design suggestion.
I hope this helps you get more quickly to a resolution or answer to your issue.

I have the same setup and can reproduce the problem easily, mine seems to go away just by clicking on another view even of the same entity. Do you have a support ticket open? Would you like me to open one?

This is working for me now - I had the same frustrations initially but as long as I save the view after setting up the conditional formatting then the conditions are correctly applied after closing Outlook and re-opening it.
I'm using Outlook 2010 32 bit on a Win 7 64 bit PC with CRM Online.
Key thing for me seemed to be to save the view after I'd added the formatting?

I would appreciate it if someone could open a ticket for this. We have tickets open for other Outlook Issues, and the time we are spending fielding calls from Microsoft is a bit silly.
We have a fairly legnthy list of bugs in the outlook client. I will attempt to post them later, and then update this post with a link.

You can pin the view to save it. After you've created the view in the CRM Outlook Client, select the 'push pin' icon to turn it. Once the pin icon is pointing downward the view will be saved

Thanks Donna. I tried pinning it, and it didn't stick. I'm using Outlook 2010, IE8, and CRM Online with a free trial subscription.
I tried pinning it before making the changes, and again after making the changes. I'm a system administrator for the CRM Org.
I also tried it in a development environment running Outlook 2010 and CRM On Premise. I cannot save the conditional formatting there either. Is there another step I may be missing?

Hi Christine, I don't think you are missing anything. If you are missing something then I am as well. Based on my current understanding, pinning the view in the CRM Outlook Client is the method for 'saving' it. Let's give Microsoft some time to test this out and get back to us. Thank you

As I was writing my response to Christine, I was thinking that I should log into my other machine and test the CRM Outlook Client first, but I took the shortcut and it didn't pay off this time :) I assumed that 'pinning' the view was sufficient since it is sufficient to persist the view across sessions. Guess I would have missed that question on the exam as well :)
Well done Rob! Thanks for taking the time to test the behavior. Hopefully this addresses everyone's question. To test, Save the view by selecting Save As from the CRM Outlook client and see if your conditional formatting persists across sessions.

Ok, I actually tested this and spent about an hour getting varied results, sometimes it would work and sometimes not and I couldn't find a reliable pattern. After an hour I had enough fun for the evening and stopped. I mention this in the event that someone is still seeing errors. I still encourage us to wait for feedback from Microsoft.

So, are you saying this is FAD (functioning as designed)? Judging by the fact that so many people report it as a bug should show this is a poor design. First, the documents don't state this. Second, every demo I have ever seen, including from Microsoft team, this is never done or mentioned. Third, I can create conditional formatting in any other area of Outlook and don't have to do a Save As or any other extra steps.
End user expectations are that one should not have do these extra steps to get conditional formatting to stick. This has been posted in community and connections.

After you have created your conditional formatting, click on the View tab in the ribbon toolbar, towards the right side of the toolbar is a button that labeled "Save As'. This is the only way I have found to save a personal view with conditional formatting. I have not seen any way to share a personal view...which would be great for collaboration.

To share personal views, click the advanced find ribbon button (on the tab to the right of the 'File' tab), then click 'saved views', highlight the view(s) you wish to share, then click the 'Share' button.

Just so you know, it is possible to save the View and have it persist by using the Filter drop down, Save Filter as New View I hope this saves you a couple of steps and makes the process a bit more simple.

Has there been any updates on this? It is now the second month of 2012 and none of the suggestions are working. Every change I make, whether it is removing a column, renaming a column, a conditional format, or whatever. No matter what method I try (and I've tried them all), it is not sticking. The ability to set these conditional formats highly increases the productivity in my department, and the fact that they won't even stick is a serious problem with Dynamics.
Conditional formatting works in Outlook (mail view), Sharepoint, Excel and everywhere else. The fact that it is crippled in Dynamics is really disappointing!

I have been able to create conditional views, save them and share them with otehrs. I am not sure why it is not working for you. Is it possible that you don't have the necessary rights to save personal views. Maybe you could provide the steps you are taking and I can try to reproduce and give you some advice.

I have the rights to create and share the views. I've already created a few views that are being shared with others in my department. I've set the formats in both conditional and column multiple times. It doesn't matter if I "Save Filters", "Pin/UnPin", "Save As", "Create New Personal View", or anything else I've tried. I have found multiple solutions posted in a few different places and none of them are working for me.
What is odd, is that on one particular shared view, there is 1 and only that a single conditional format stuck. But if I try to alter that view in any way, everything else disappears. And if I go in to add more conditional formats, the one that did stick, loses it's condition (it keeps the styling, but the rule goes away). Plus, I can't even get regular formatting to stick (e.g. column descriptions/styling, etc..)

Please provide a list of the exact steps you are taking to set conditional formatting in a CRM Outlook Client View. Please use the followign format:
- Select Opportunities
- Select a View from the My Views (remember, you can not save conditional formatting to a system view)
- Select View from the top navigation menu
- Select View Settings
- Select the Conditional Formatting
Please provide a list of steps that you are taking and I will reproduce your steps in my system to try and identify the point of failure.

1) Select company (in Outlook sidebar) then Marketing/Campaigns (How our hierarchy is setup)
2) Select "Test 1" view (a saved personal view)
3) Select View
4) Select View Settings
5) Set conditional formatting
a - font: Arial Bold 10pt red,
b - Condition:
Advanced, Field: Materials Due
Condition: on or before
Value: Today
Than I "Add to List" and "OK" 3x to complete6) At this point the rule works.
7) "Save Filters as New View"
In this manner it works.
But here is the catch, if I go into view the condition in either the previous view or new view, the rule is gone.
Not only that, If I go back and repeat all the same steps, but I put in 2 separate conditions, only the first one saves. It seems like it only wants to allow one conditional format to stick, and it doesn't even retain the rule if you go into to edit it.

Okay, I figured out that if I set the rules from a System View and save the filters, they stick. However, some of the formatting (column formatting, etc..) does not get retained.
The other kicker, if I try to edit the new Personal View, all the conditional rules are gone. And you cannot edit it at all.
So I can get by with what I've figured out. But this is pretty bad that we have to get it right the first time, because there is no changing anything unless you start all over!
If anyone can explain how to adjust a saved view and have the revisions stick, that would be greatly appreciated!

I am also facing such issues while applying conditional formatting.
Could you please help me out for the same?
My steps are,
1. Advance find - Phone call - copy my phone call view
2. In outlook select that personal view and pin it.
3. Click on view at top ribbon bar
4. Click on View Settings
5. Give it a name as high priority phone calls
6. Font color red
7. Condistions - Advanced - user defined fields in folder
8. priority equals high
9. Ok
Using above steps nothig happened on my view.
I would like to configure hight priority phone calls in red

Hi - I'm no expert at this - but seem to have found a solution (after hours of attempts today).
I accessed Conditional Formatting via View/Change View/Manage Views/Modify (you will see Conditional Formatting now)
I used the 'Apply Now' button before close the Manage Views window.
