email to dynamically allocated user ? RRS feed

    I created a workflow that sends an email notification to a user in our organization whenever he is

    assigned a case.

    However, I don't see how I direct the workflow wizard to send the email tp this new owner.

    Both the email template and the email message are limited to lookup that shows the list of users.

    Clearly, I don't know who would be the user that would be assigned the case, so this should be

    determined when the workflow is fired.


    The workflow I created is a collection of tips I saw in several blogs, but the issue of dynmically assign

    the "to" fields in the email is not covered.

  • If you want to create a workflow that sends an email to a user when he is assigned a case, you would create a workflow on case entity that is set to run when the record is assigned.  Then add a send email step.


    Edit the properties of the email to be sent.  Click on the to field.  Using the Form assistant select Case in the "look for" and in the drop down underneath it select "Case owner."  Hit Add and OK.  You should now see this value in yellow in the to field on the email form.


    When you assign a case to a user, that user becomes the case owner.
