CRM Workflow - Sending 1 email for multiple actions RRS feed

  • This is the scenario: Multiple Contacts (or Accounts) are assigned to a User at one time by multi-selecting them and selecting Assign to Another user. Or, I might use Data Migration Manager to import Contacts.

    I would like to have a Workflow that would notify the User that they have new Contacts (or Accounts) assigned to them, but I don't want hundreds of emails going out. If I "bulk assign" Contacts, I need to be able to send 1 email to the user with an email message listing the names of the contacts or maybe just a count of the contacts just assigned to him/her.

    I noticed one of the workflow options is a "trigger" for "Record is Assigned". But, this will trigger the workflow for every records that is assigned, therefor sending many email messages.

    Is there a way to send just one email message?

  • Without writing custom workflow it can be hard to do it. Easier it will be create a report and schedule result in the specific time intervals (daily ?).

  • One option that might work is to use the Notifications accelerator http://crmaccelerators.codeplex.com/releases/view/19071

    This way the user can set up an RSS feed which you can design as you see fit e.g. all contacts/accounts owned by the user (they'll only sync once) or, if you prefer create an assigned date attribute on the record and populate it with workflow. You could then have the RSS feed refer to this date i.e. all contacts/accounts owned by the user where the assigned date is the last 24 hours.
