Migrating Emails RRS feed

  • Is there a way to only the emails?
    Emails would have association with not only the companies, but also with user's Outlook mailbox and the server they are tracked in.
    So, when i tried to export to Excel, it says the data is too large (in Description column) for some of the records.
    Any ideas?

  • Hi Jacob,

    Migrating Emails are little bit tricky in CRM. You have to take care of the From, To, and Regarding fields in addition to the email message.  Exporting them a CSV file is not a good idea.

    I would recommend that you do it through the SDK, write a small migration application to do it. You can still use other tools to do it, however I haven't came across any good tool that will handles the FROM and TO field well. The FROM and TO field stored as Activity Parties in CRM.

    I can tell you the following tables contain the email information: ActivityPointerBase, EmailBase, ActivityPartyBase.

  • What are you trying to accomplish?  I would write a custom SQL Reporting Service report to retrieve the data and then export that to csv.  If you are looking to import the emails into a different system and you have access to the CRM server, I would create a new sql database with a replica of the activitypointer, email, and attachment tables and then use SQL to populate those tables. 

    By going from SQL to csv and then into some other format, who knows what data might be lost.

  • Import Organization is not an option, since I only want to migrate emails.
    Exporting to CSV would usually work better with Advanced Find, but the Description part is too large for some emails.
    I'm just wondering what the best way to migrate emails that are already tracked in one system to another.

  • Migrate emails from one CRM 4.0 implementation to another CRM 4.0 implementation?

    The best way depends on what you tools you have.  There are several examples for cloning records using code, so you could write a small application to extract the emails from one CRM system and create them in the destination system.  If you don't have access to Visual Studio, exporting to Excel might still be an option.  The error you got the first time, did that occur on the export or when you attempted to open the Excel file?  If the error occurred only on opening the file, then open the file in Notepad and save it as a csv; your column names should still be correct.
