  • Can you explain to me the diffrenet between Parent Child Business unit and organization?

    I read your second post no attentive.

    The only way is sharing. Parent-Child gives access only to your and sibling business units.

    I need to accomplish the following:

    - Manager A and Assistance1 to BU1
    - Manager B, Manager D and Assistance2 to BU2
    - Manager C and Assistance3 to BU3

    now if Assistance 3 is on vacation then i would like to give assistant2 temporary access to BU3
    what type of security roles shall i do??

    For such temporary access you can use 2 approaches:
    1. Assistance 3 shares required records to Assistance 2.
    2. System Administrator modifies or grant role to Assistance 2 with Parent: Child Business Units access level.

  • the second option is much better for us here. but in this case if we do have BU4 on the same level of BU2 & BU3. Assistance2 will have access to BU4 as well . so this is my concern

    It seems that there are no other solution without coding.

    If you want to restrict access to records to BU4 records you can write plugin on Execute message and add new filter to restrict access to BU4.

    Having gone through the thread I have a few questions and  a proposed solution.

    Does assistant2 have access to every record in their own business unit - BU2?
    When assistant3 is on leave does Assistant2 get access to every record in BU3?


    If the answer to all the answers is yes then here is what I propose.

                  CEO
          BU1 -------|-------- AU
           |                           |
          BUX                       |
           +------+            +----------+
           |           |            |             |
          BU2    BU3           AU2       AU3

    Create a new BU called BUx (or something). When assistant3 is on holiday promote Assistant2 to BUx. This will give him access to both business units. (Using Parent - child access level).

    Note that my solution is based on the limited information you've provided in your posts. This may or may not be the best solution to your problem.

    Something just came to my head that i can change the business unit for those users in BU3 to BU2. this will be a good idea instead of creating BUX
    what do you think?

    If you change the BU of the user from BU2 to BU3 then they would not have access to their own business unit. Would that be workable? The point of having BUX above BU2 and BU3 was to give the user access to both business units but at the same time not give them access to records in BU1.

  • those users in BU3 will do have the security roles as Basic so if they get moved to the BU2 then for them will be no changed

    Assistance will have business unit access.

    is this fine?

  • Husain,

    A user can only be in One business unit at any one point in time.

    As soon as you move a user from one business unit to the other, all security rights are revoked. What that means is that you will be required to assign the security role again to the user but only this time it will have to be from one of the roles in the new BU.

    I strongly recommend reading up on MS CRM v4.0 security from a good book or if you're short of time. Watching this basic security video on channel9.

    Somethign just came to my head that sometime one of the Assitance might need to have access to BU1
    so by creating BUx assitacne wont be able to have access to BU1

    can you help me on this?
