Email Notifications for Generic Resources RRS feed

  • Our company uses Generic resources as fillers until the Resource Manager and PM decide which Individual Resource to use for the task. We would like an email to be generated and sent to the Resource Manager whenever their generic resource is assigned to a task. This happens automatically for non-generic resources when we select "Resource can logon to Project Server" and enter in the respective email address. However, notifications are not sent when it is selected as a generic resource (even though an email address is entered on the edit resource page).

    How do you set it up so that Generic Resource Managers (those whose email is entered in the email field on the edit resource page) receive email notifications when the Generic Resources are assigned to projects?

    There is no default method in Project Server 2010 to force the system to send an e-mail message to the resource manager under the conditions you describe.  The only way to make this happen is through custom software development with Project Server.  In that case, I would proposed that you repost this message in the Project Customization and Programming user forum to allow our software developer friends to address your question.  You can access the forum at the following URL:

  • In 2007, I use "fake" generic resources to acheive this.  I setup a resource (not a user) in the pool with a role name (eg Quality Assurance) and then set the Default Assignment Owner to be the manager of that group.  That way the manager receives email notifications and the task appears on his task list until an acutal named resource is assigned.

  • Another thought: If you are using Project Server 2010, you could also look into setting up a workflow around your process, and then use the workflow to generate emails as necessary.

  • Here is one more option, where you can create the SSRS report and creates the email subscription, so manager get the consolidated one mail for genric resource.

    You can use the PDF format with information regarding the generic resource while sending the report to Manager

    But if you want to achieve through Out of Box functionality, then you use the approach suggested by Terrie.
