CRM + SharePoint Integration: Question regarding SharePoint List view threshold RRS feed

  • Hi everyone, we have integrated SharePoint with Dynamics CRM. No we heard about the “List view threshold” @ 5000 records. I have read some information on MSDN and possible Solution to overcome this issue.

    List view threshold:

    “Specifies the maximum number of list or library items that a database operation, such as a query, can process at the same time outside the daily time window set by the administrator during which queries are unrestricted.”

    In our initial setup we will definitely create more than 5K Folder + Files.

    We have currently on Document Library and creating the following folder Structure:

    Contact:

    • A (up to 10 Documents)
    • ....

    Account:

    • B (up to 10 Documents)
    • ...

    customEntity:

    •  C (up to 10 Documents)
    • ...

    Each Subfolder will contains 1 to 10 Documents.

    I don’t understand the 5000 limit directly.

    When we access the SharePoint iFrame on the CRM-Record do we hit the 5000 limit, even if there are only up to 10 Records in the folder for this record? It seems to be possible to store up to 30.000.000 Million Documents per Library.

    Documents:

    „You can create very large document libraries by nesting folders, or using standard views and site hierarchy. This value may vary depending on how documents and folders are organized, and by the type and size of documents stored.“

  • Hello Martintfg,

    On Dynamics CRM Iframe that shows the document library of SharePoint, it will only show the records within that configured library.

    For exemple:
    If you just have 10 records on Account library on SharePoint, Dynamics CRM will only show 10 records.
    If you have more than 5000 records on the library to be shown, you might get a warning or similar but will be from SharePoint.

    If you are using the out-of-the box SharePoint integration for Dynamics CRM, using the iFrame, it looks like you will not run into the threshold limit.  The threshold limit is set for viewing SharePoint natively when looking at a particular view within a SharePoint document library.  The out-of-box capability will create a folder for the account/contact when a user clicks Document Management tab in CRM.  When viewing that document management tab, you see an iFrame into only that folder, so the threshold should have no impact.  You should have no issue creating accounts and contacts and doing document management in this manner and not worry about the threshold.
