Notes not a usable entity for workflows??

Question

A simple workflow I'd like is the notifcation to a Lead owner of any changes made to the NOTES field of a Lead. Unfortunately, I can't seem to to do this as Notes aren't a selectable option. What gives?Thursday, May 28, 2009 6:40 PM

The trouble you're having is you think the note is an attribute to the lead record. It is in fact its own entity so the workflow must relate to the Notes entity, not the Lead entity. In theory you should be able to create this workflow but I have had trouble in the past with getting a Notes workflow to identify its parent record, specifically for updating that parent record but see how you go.Leon Tribe

If you run the workflow on the note entity you can send an email to the regarding(lead) owner which I believe is what you want

That's what I want, but the Note entity is not available when you choose "Record Attributes Change" when building the workflow. That's the problem I'm having.Thursday, May 28, 2009 9:43 PM

It’s not, that’s odd. It should be available like any other entity. Make sure the workflow is unpublished (Draft).

Its available in workflow designer. I have just tested and its there. Try to reset your iis and also Async service although it not required.

Again this is very strange, what version of crm are you using? Are you logged in as administrator?

Ah, Leon, you're right! I did have it as a Lead attribute instead of its own. I'm now able to create the workflow, but, as you said, getting it to work correctly is another task.Monday, June 1, 2009 4:42 PM
