CRM 4.0: shared data in Outlook Offline client? RRS feed

  • Question

  • Hi all.

Here my example for better understanding:

I’ve got a Sales Representative. This Sales Representative must have access to several Accounts. He does not own any Accounts.  These Accounts are shared to him by other Sales Representatives. In the Web-client and in the Outlook-client this works fine. My Sales Representative can work with these shared Accounts.

But when I’m running the Outlook client in Offline mode, there are only the owned Accounts available.  So is there any way to get shared Accounts or to view shared Accounts in the offline mode?

    Regards,

    Adrian

  • Bit late fro the orignial poster, but for reference:

Although by default a user only has the records he/she owns when working offline, this can be changed by modifying the Local Data Groups within the Outlook client. Each Lacal Data Group is essentially an Advanced Find, and can be changed to include extra data. The data taken offline is still subject to CRM permissions, so for the example in the post, modifying the Local Data Group for Accounts to include all active accounts should give the desired behaviour.

Out of the box, each user sets their local data groups independently: the following link describes a tool to allow these to be set centrally - http://blogs.msdn.com/crm/archive/2007/12/14/crm-blog-automating-local-data-query-creation.aspx

  • Thanks for reply!

But I could not found any answer for my question.  (Maybe I’m blind)

If it is not clear enough, I’ don’t want to share any Outlook thinks like a Calendar or Outlook-Contact.

My Sales Representatives are assigned to Business Units. And in this case every Representative can only see his owned Accounts (Accounts which are assigned to this user). With the CRM-Share Method I’m able to grant other users access to accounts, even if they are in other Business Units. This is necessary for special key account managers.

What I would like to realize is that the special key account manager is able to see these shared accounts in the outlook client in offline mode. I figured out that the crm offline database only contains accounts which are strictly assigned to the current user (no shared accounts).

I’m looking for a workaround or something else to make shared data available in the crm-offline-database.

I’m grateful for any ideas or solutions
