Setting up Email Router but dont want emails going into CRM db RRS feed

  • I am wanting to install the CRM 4 email router so that we can send Marketing emails through CRM.  Right now we have some users using the web client and others using Outlook client for CRM but we do not have the router installed. I have installed the email router at another company and we had issues with personal emails being added into CRM.  They didnt track the emails, they were just automatically tracked.  I believe it was because of the setting in options to track certain emails.  I just want to make sure that it doesnt happen again when I install it this time.  If i just want to send Marketing Emails out of CRM and receive the emails back about the customer opting out of an email, what is the best approach to do this?  Also, what checks should I make before turing the router on and what would I make the default in the users sytem CRM profile as the incoming and outgoing?  Also, why would I use the forward mailbox?  Thanks for the help.

    Also, I want to note that I like that we only track the emails that we would like to track via the track in CRM button through Outlook.  I do not want to track every email. Thanks

  • Lots of questions in the post so I'll try to tackle them individually:

    Ensure the user's settings under Tools, Options, E-mail tab are set to the Tracking scneario that fits the company guidelines.  Each user can choose to track All E-mails, In response to CRM e-mail, or e-mail from Accounts, Leads or Contacts.

    The e-mail router is going to be the best automated approach to handing the above scenario.

    You'll want to follow the installation guide for installing the e-mail router and test the User's access to ensure everything is working as expected.  Unless there is some environmental constraint that is not stated in your post, set the user's incoming to use the Forward Mailbox if you implement that option in the e-mail router and the Outgoing to the E-mail Router.  You can learn more about the e-mail router and implementation decisions from the Resource Center article Microsoft Dynamics CRM 4.0 E-mail Router deployment guidelines.

    When you install and configure the CRM Outlook Client, ensure the settings in the E-mail tab still show the Tracking option that you want for the user and it is not changed to Track All E-mails.

  • Is there a way to not track any emails unless you actually click on Track in CRM on the particular email?  Also, when or why would you use "None" or "CRM for Outlook"  in the Incoming/Outgoing user setup? Thanks
