Storage of pending mails RRS feed

  • Hey folks,

    our marketing girls create email campaigns with marketing lists to store past marketing activities in CRM.

    Because our Exchange server has not the capacity to handle mass mails from CRM at the moment they use an external tool to send the mass mails.

    They haven't Outlook connected, created the Campaign activities as pending mails and set them all from pending to completed manually.

    But CRM seems to remember that they have been pending for send and have not been sent yet. After connecting Outlook to CRM4 Outlook want's to send all the mails.

    Does anyone know where this information is stored? We need to tell CRM not to send this mails. They have only dummy text and should never been sent to our customers.

    1. If these e-mails have only dummy text and should never been sent to our customers, why you just don't delete them?

    2. Maybe unchecking "Allow Microsoft Dynamics CRM sending e-mail using CRM for Outlook" in Personalize Workplace- E-mail tab would be a solution?

  • Hi Michael,

    What you could do is setup a queue to send the emails from in the Campaign Activity.  During the setup of the queue, there will be email options which you can simply set to None, so that any emails from to to this queue will NOT be sent.  So when distributing the Campaign Activity, instead of sending the emails on behalf of the user or the owner of the record, you simply select the queue. 

    This should ensure no emails get sent out whilst preserving the Outlook integration for each user.

    Thank you, but my colleagues already know how to create the mailings without sending them.

    The problem are the old mailings in database that will be sent after connecting outlook to crm.

    The mails are all set to 'completed' but Outlook asks for sending.

    Thats why you when you distribute the campaign activities, you set this new queue (which has no email capability)in the "FROM" field of the email activity so that the emails will never be sent out. 

    Alternatively, there should be an option when distributing the campaign activity to automatically send the emails.  You can set it to just create the email activities only without sending and then close them off after that.
