sharing views with roles? RRS feed

  • Hello - I know how to share a view with specific users. However, is there a way to share a view with a specific role?

    For example, if I want all users with MyNewRole to see the views then I'd like to be able to set that permission at the role level as opposed to having to explicitly share the view with every new user as he becomes associated with MyNewRole.

    I noticed in the UI that there's a way to share views at the Team level. Can someone explain the concept of Teams in CRM, the relationship between Teams and Roles, and if sharing views with Teams is the closest concept to sharing views with Roles in CRM?

  • Your on the right track, sharing the view with a Team would be the way to go in this case except that you would need to add users to the team in order to grant them access via the team's share.  Depending on your organization and needs, you may be able share the view with the target users' business unit teams as each business unit also has a built in team, i.e. Business Unit "Global" would always have a team named "Global".

    Both Users and Teams may have roles/shares associated that grant the user or team the privileges associated with the role or share.  When a user belongs to a team then the user also inherits the privileges granted to the team.  So if a user has not been given access to a resource, but the user belongs to a team that has, then the user will implicetely have access by inheriting privileges from the teams that the user is a member of.
