CRM 2011/Online: Limiting Access for Users of Specific Security Roles to Specific Records in an Entity (Based on value in a field inside that entity) RRS feed

  • We have a scenario in which we have a common entity that hosts the information for multiple countries. Each record in that Entity has a field i.e. operating country that defines for which country of operation the record belongs too. The possible values for that field are UK, Spain & Germany

    We have users who are part of different security roles e.g. we have

    • A security role for users of UK
    • A security role for users of Spain
    • A security role for users of Germany
    • We have another security role that has some supervisors who need access to records from two countries e.g. UK & Spain information.

    We are looking for a way (preferably through configuration and not coding) through which we can ensure that

    • The users who are part of security role of UK can only access (search, access, create, modify) the records in the common Entity for which the operating country field is set to UK.
    • The users who are part of security role of Spain can only access (search, access, create, modify) the records in the common Entity for which the operating country field is set to Spain
    • The users who are part of security role of Germany can only access (search, access, create, modify) the records in the common Entity for which the operating country field is set to Germany
    • The supervisor users who are part of the fourth security role i.e. for UK & Spain can access (search, access, create, modify) the records in the common Entity for which the operating country field is set to either UK or Spain.

    What’s the best way to implement this record level access control to specific security roles in CRM 2011?
