CRM 2013 SharePoint 2010 Integration - Folder Names RRS feed

  • We originally were running CRM 2011 and SharePoint 2010 for document management on Account and Opportunity entities.  When we created a new opportunity, the folder name in SharePoint exactly matched the opportunity topic name in CRM.  We have since upgraded to CRM 2013 (this is all On-Premise).  We have upgraded the SharePoint list component as well.  When we create new opportunities, the folder name is now the opportunity Topic name with a string of random numbers/letters (I am assuming the opportunity ID) appended to it.  Is this to be expected?  If so, is this to protect against a user creating multiple opportunities within an account with the same exact topic?

    I know there will be complaints from the end-user community on this and would just like to know the reason why it is happening.

  • This is by design. Previously you could run into a scenario where there are 2 "John Smith" records in CRM - both completely different. The SharePoint folder ended up being "John Smith" when it was created for the 1st record. When you created the SharePoint folder for the second record using the OOB process in CRM, it sees "John Smith" is already a folder and links the second CRM record to the same SharePoint folder. To eliminate this in CRM 2013, they've appended the CRM unique record identifier to the SharePoint folder name to ensure it is different for each record. To my knowledge this is more a limitation in SharePoint as the folder name it how it uniquely identifies that record.
