PS2010 Replacing a Enterprise Resource with another Enterprise Resource on the same Project. RRS feed

  • This is an interesting but common occuring situation. Currently utilising PS2010. I have a Project with a number of Enterprise Resources who have provided status on acutual work done. One of the resources on my team has quit. I want to:

    - Replace the resource with another resource on the same project

    - Want to retain the actual work progress against the task as statused by both the project resources.

    - All existing incomplete tasks of the resource that has quit to be automatically assigned to the other project resource

    - No changes to tasks already prior assigned to the resource that is taking on the additional tasks.

    I haven't defined any skills for assignements or the resources. 

    The Project Schedule is quite large and a manual option to individual trawl through the tasks is not practical.

    Any Pointers will be much appreciated.

    Here's how to replace an enterprise resource with a different enterprise resource according to your requirements:

    1.  Open the enterprise project in question and apply the Gantt Chart view.
    2.  Right-click on the Duration column header and then select Insert Column on the shortcut menu.
    3.  On the pick list of available columns, select the % Complete field.
    4.  Click the AutoFilter pick list button in the % Complete column header, DESELECT the 100% checkbox, and then click the OK button.

    The preceding step will filter the project to hide all completed tasks.

    5.  On the View ribbon, click the Filter pick list and select the Using Resource... filter.
    6.  In the Using Resource dialog, select the resource that left the project team.

    The preceding step now shows only in-progress and unstarted tasks assigned to the resource that left the project team.

    7.  On the Resource ribbon, click the Assign Resources button.
    8.  Select the first block of regular tasks assigned to this resource (DO NOT select summary tasks or milestones).
    9.  In the Assign Resources dialog, select the resource that left the project and then click the Replace button.
    10.  In the Replace Resource dialog, select the name of the replacement resource and then click the OK button.
    11.  Repeat steps #8 - 10 for every block of tasks assigned to the resource that left the project team.

    Steps #8 - 11 above will completely replace the original resource with the new resource on all unstarted tasks.  For any in-progress task, however, the above process will leave the original resource assigned to the task with any Actual Work the resource completed, but will transfer all Remaining Work to the new resource.

    12.  Click the Close button to close the Assign Resources dialog.
    13.  On the View ribbon, click the Filter pick list and select the [No Filter] item.
    14.  Click the AutoFilter button in the % Complete column header, select the Select All checkbox, and then click the OK button.

    The preceding process will meet all of your requirements.  Hope this helps.

  • Hi There,

    You can make the remaining work as zero of the resource in project who has quit & let the project manager (status mgr/Timesheet manager), approve teh hours. Deactivate the account of resource, instead of deleting the account from PWA.

    Now, If you have a new resource account setup in PWA, assign the resource on the tasks as per the desired work hours/units where the deactived resource was working & publish the plan.
