Migrating to Microsoft Dynamics CRM Online

I use BPOS for my company's Exchange and SharePoint and am very happy with it, and as a result of these positive experiences with Microsoft Online products, I am interested in transitioning to MS's CRM Online offering as well. I'm trying to understand what my options are for getting my CRM data and customisations (GUI-based, end-user-made customisations only) from my current installation to a CRM Online account. I've looked at some of MS's info/help pages about this, but the discussions seem to always concern some fairly involved processes of migration or export-import. Both of these scenarios seem time-consuming to me. My question therefore is this: would the Microsoft Dynamics CRM Online service offer a way for the customer to simply provide the SQL database from their previous installation and have MS get them up and running with that? That would seem to me to be not only the most time-efficient but also the most error-proof way to go -- there would be basically no way for any of the data or relatoinships to get mangled in the migration process... Thanks in advance for any information about this!

There are few things which needs to be moved:
- customizations - export all and import to CRM Online -
- custom reports - download them and import them to CRM Online
- custom application - CRM Online not support them
- data - the hardest part. MS CRM Online have any upgraded Bulk import and you can use dedicated Data Migration manager. On your current system you will need to export all the data per entity. and import them in correct sequence so first top level data account and later contacts ...
I was doing migration (OnPremise to Hosted) on database with 3000 dictionary data and 5000 activities and other records and it took a one day to import. Of course earlier I was preparing a scenario how to do it.

Well, this is a bit of a problem, but I can see a much easier way to get this done. There is a Microsoft Team that handles these types of requests called the "Power of Choice Team". They normally handle scenarios where a user buys On-Premise, loves the product, but their servers aren't good enough or whatever so they migrate them to CRM Online (cloud based) for free. They also (probably more often) handle the inverse scenario where a user has CRM Online, loves it, but wants more flexibility, and they will migrate your data out and give you the Data so you can implement the same CRM locally. What is difficult is when you're moving from a Hosted Implementation (like those at CRMOnTarget or various other "Partner Hosted CRM" implementations) to Microsoft CRM Online. I would contact the Power of Choice Team, and have them speak with your partner that is hosting CRM, and see if they can work out the details of the move for you. This might be a special request, but Microsoft loves happy customers and I am sure they would be willing to try and help out in this scenario. A lot of this depends on the partner that is hosting your CRM, and what their direct relationship with Microsoft might be; but its worth a shot either way.In any case, call your local CRM representative from Microsoft and ask about the Power of Choice Team and talk about your predicament.Good Luck!-Paul Reitmeyer

Paul, thanks for providing useful information about the Power of Choice team. It's good to know that they are there and doing a good job.
Just a quick word in defence of partner-hosted CRM, if I may. Many Microsoft hosting partners offer a very cheap hosted CRM service, comparable in cost to Microsoft's own service. Others offer a much better service than Microsoft's CRM Online service for not much more. CRM Online has several limitations that most specialist CRM hosting partners don't have -- especially the ability to support custom reports, plugins, ISV add-ons, vertial editions and customisation services. (Most Microsoft Exchange hosting providers are not hosted CRM specialists).
It's testament to Microsoft Online Services that customers like SmallBusinessOwner are encouraged by their experience of BPOS, but CRM Online isn't run by the same team (it's just branded similarly). So it's definitely worth checking out the 30-day trial to find out about the migration services, support services and test if any of the above limitations will limit your experience.- Marked as answer by Michel Ehrlich Sunday, February 28, 2010 9:26 PM

Hi,
There's not a simple process right now to migrate from on-premise to online, it's pretty much export/import data and re-factor plug-ins and other customizations. Of course, if you hire Microsoft Consultants they might take care of all of this for you, just for a small fee! ;-)

Thanks Yoann and kgorczewski,Just to be certain (and I really don't want to upset any MS Partners who are in this forum but for me this is a simple cost question) my scenario is not in fact going from on-premise to Online or from on-premise to hosted, but rather from hosted to Online ("Online" being the brand of Microsoft's own saas Dynamics CRM offering, which has pricing lower than any hosted provider and also, I am hoping, a single-sign-on facility similar to that offered wit BPOS).Thanks!Friday, February 26, 2010 2:48 PM

Neil, you're absolutely right, and I wasn't making a jab at Partner Hosted offerings at all, in fact my company works closely with many Partner Hosted organizations for specifically those reasons (when a user needs ISV configs or Plug-ins or custom reports/Mail Merge). I would say though, that "most" and i'll use that term loosely here, Partner Hosted models charge the customer somewhere between $75/user/month and $150/user/month. That gets even worse when you talk about the overseas market where a user could easily spend 100 EURO/user/month to 250 EURO/user/month for the same services. Microsoft's platform offering ranges from $44/user/month with those limitations you spoke of. For many organizations, it is a better deal. I think a lot of Partner Hosted companies that were affluent in CRM 3.0 days, and could get away with charging hundreds per/user/month to the end user community are having a hard time with rationalizing the addition expense to their leads now. However, that is just my opinion, and both options are very good options.-Paul
