CRM 2011 Online: How to identify the business unit of each record like task,email, opp., lead? RRS feed

  • Hello everyone,

    I would like to show the business unit the owner of a record on every tasks, emails, leads, opportunities, notes.

    I have a hierarchy of business units. Once a top level user opens any record he should come to know quickly that this record was created in this particular unit.

  • Hi,

    You can add the Owning User Business Unit field into the entity view to display related Business Unit.

    I would like to have it on a record itself. When i open the phone call record, i should able to see the business unit on header part.

  • Hi,

    That is not possible via OOB system feature, what you can do is:

    1. From Phone Call entity create a new N:1 relationship with the Business Unit entity

    2. Write a workflow that will trigger on Record Created and When Record is Assigned on Phone Call Entity

    3. In Workflow Add Update Record step and set the Business Unit field with the assigned User Business Unit Field

    You can perform the same functionality also via a plugin.

  • And you must also consider that records can be owned by teams so in some cases you will have to take the business unit from the team instead of the owning user. I believe the workflow designer has a dynamic value for "Owning Business Unit". However, it can get complex because if you move the user/team from one to another business unit then you would have to propagate that change (it will not trigger the workflow automatically) so you might need plugins to thoroughly handle that.

    I believe having the owning business unit in the view instead of the form like Jehanzeb suggests is a nice workaround that requires much less effort.
