Synchronization of CRM Contacts into Outlook Contact Default Folder and CRM Offline RRS feed

  • Hi,

    Problem:
    Local Data Group defines the contacts to be synchronized for noth offline and Outlook default contact folder.
    My client would like to limit the contacts to Outlook default contact folder (ie 200), but still have all the contacts he is entitled to see due to his security roles (ie 7500).
    Reasons why is, that when the synchronization to CRM is done, he has aprx. 7500 contacts. His mobile phone can only handle 1000.

    Any one has a solution on how to setup to different sets of synchronizations?
    Any one knows if this is changed in 5.0?

  • One way to limit it would be to set the local data group to only bring contacts modified within the last X weeks. Not exactly 200 but it should be the ones of interest.

  • Hi Leon,

    Using local data group can we limit the synchronization of Outlook online (without offline) ???

    Because i thought the Local Data Group is useful just for users using offline ...Please let me know your thoughts

  • The local data group from contacts is special. It defines the contacts which go offline but it also defines the contacts that sync to Outlook. I can't find an article which outright says it but this talks at it.

    Thanks for your reply.
    Your suggestion will not meet customers expectation. Up untill now they just synchronize the most needed records and live with the size of their contact list in outlook. (a regular employee gets more than 1500 contacts.)
    We are working on some helper tables to limit the huge number of contacts.

    Aarch: The Local Data Group is a filter for both the contacts you want to synchronize to Outlook default Contact Folder. And for the Records you want to bring offline.
    My situation is that customer want to synchronize less accounts to Outlook Contact Folder, due to limitations in their Mobile Phones, than they want to filter contacts in CRM Offline mode.

  • Re-reading your original query I now understand. They want all appropriate contacts offline but a limited subset synced to Outlook contacts. I can't think of a good solution given the hard-coded nature of the Outlook-CRM sync.
